Build a Record of a Workplace Problem in Japan

Separate events, employer explanations, work records, pay records, and your requested outcome before a labour consultation.

A workplace problem can concern pay, hours, dismissal, a contract, reassignment, harassment, safety, or several matters at the same time. A dated record helps a consultation service see which question must be handled first.

Use one line for each event

Create a table with these columns:

Separate what a person said from your conclusion about why it happened. If an explanation was oral, write your note as soon as possible. State that it is your note, not a recording or signed statement.

List employment and pay records

Record whether you have each of these items:

  • employment contract and notices about working conditions;
  • work rules or relevant internal policy;
  • schedules, time records, and leave records;
  • payslips and bank payment records;
  • performance, warning, transfer, or dismissal notices; and
  • messages that directly concern the disputed event.

Use only records that you can lawfully access. Do not remove customer data, trade secrets, or unrelated employee information from the workplace.

Write the result that you need

“The workplace is unfair” does not tell a consultation desk what action you need. Write a narrower question. Examples are:

  • How can I confirm the pay calculation?
  • Which office handles this type of working-condition question?
  • What record should I make before the next meeting?
  • Is there a stated reply date in this notice that needs urgent review?

Check the official multilingual routes

The Ministry of Health, Labour and Welfare lists multilingual government inquiry and call centers, including services for foreign workers. It also provides a Working Conditions Hotline with foreign-language support. Languages, service times, and telephone numbers can change. Confirm them on the official pages when you need the service.

If there is immediate danger, make safety the first action. A labour record is not a substitute for emergency help.
